Multi-Contactor Set Up

There is free phone support after purchase of the product.  Before purchase email us for questions.  Please make sure you have at least a 56k modem PCI card data, fax, voice modem ( Manhattan 56k Modem PCI card data, fax, voice about $20) and phone line from modem to analog phone jack($3.00).  Use a phone line splitter and plug line from voice modem and phone in same splitter.  All radio shacks have a phone line splitter. 

If you are calling from a phone box (digital) you will need an analog card.  They provide 4 analog lines. And are inexpensive.  Most offices have digital and you might want to call the communication company that manages the phone lines in your office.

Voice, Data, Modem Setup

After install pull down the preferences menu on the top left of the main screen. Select "configuration".



Go to the phone tab. On this screen you will see a "Phone device" box. Move the cursor to the open folder on the right side of the box. Click the open folder as shown in diagram below.




A voice data fax modem alredy installed on your machine will appear in the box and "Voice over the phone line is supported" in green will appear below the box. Now, the data, fax, voice modem has been selected and is ready to dial.

Setting up the Email Program

Click on the e-mail tab at the top of the screen. Outlook is the default program. If you are using another mail program like Eudora you select EXE of the application in program files. First select the circle button to the left of the box then go to eht EXE by selecting the open folder as shown in diagram below.


Setting up the Fax Program

Setting up faxing capabilities is similar to email. Don't forget the pre authorization line. If a windows xp fax console is present it will automatically set up. If you are using another fax program like Hot Fax Messenger provided by Smith Micro, select the circle button and then the "open file" to go to the executable of the installed application.

Setting up an E-mail Template

Go back to the preferences menu and select fax/e-mail template.



Select the Email Editor tab. In the space provided writing and saving a a pre-authorized e-mail message to the decision maker is essential. Before you write map out your sales process find "key words" with our Analyzer I and know what you want to introduce to the decision maker. You might want to include something like this at first," Your Secretary gave me your e-mail address to contact you about _________." Another consideration before writing your e-mail.





By checking the first box at the bottom of the screen next to," insert first name in e-mail message" the first name from the database will automatically be placed at the upper left hand corner of the e-mail message when sent.

Also while writing your e-mail consider to check the box "Are you going to include an attachment?" By selecting the box next to," attachment" a separate file, demo, photo or other could be included in your message. Finally at the bottom of the screen you have the option to view each e-mail separately. When you are done writing the e-mail message save it in the templates folder. Check with local, state and federal laws before e-mailing.

Setting up a Fax Template

Go back to the preferences menu and select fax/e-mail template. This is where writing and inserting graphics for your pre-authorized fax message to the decision maker happens. You might want to write something like this at the top of the fax, " Your Secretary gave me your e-mail address to contact you about _________." Before you write the fax map out your sales process find "key words" with our Analyzer I and know what you want to introduce to the decision maker.

If you are using an external fax executable go to that program's editor and create the fax. Then open the pre-made fax by selecting the circle button for "External File" and then selecting the open folder button as seen in the diagram below to open the previously created fax.

If you are using Windows XP fax consol use the built-in editor. Once you have created the fax, fill-in the subject and save. Save all templates in the Template Folder that should be in the program folder. Fax blasts are illegal. Check with local, state and federal laws before faxing.

Making a Wav File to Play on the Phone Line

If there is no Secretary or he or she cannot give you an email address or fax number you'll probably want to leave a prerecorded voice message depending on your sales process. Get ready to leave either of two voice messages by selecting the "Contactor" menu and select "Open Sound Recorder". See diagram below:


By defualt windows xp recorder should appear on the screen. The recorder should be set to record from a mic. If not go to windows xp help and support and set-up your recorder or mic to record a wav file.


Note: At this time think how you are approaching (outbound calls probably) most of your potential customers. Ask," Is my potential customer going to have a secretary." If they are going to have a secretary you will want to have a voicemail for the decision-maker. After the caller introduces herself/himself and gives a brief compact introduction with "Power Words" and the only option is a voice message -leave a good one. If there is no Secretary at potential customers’ environment perhaps create an event oriented message or other. Again depending on your sales process.

After recording the file save it as a 8khz 16 bit mono file. This is not telephone quality.  When saving the wav file to the right of "format" at the bottom of the save box is a "change' button.  Make sure the settings are for the above 8khz 16 bit mono file wave file when saving.  We suggest that after you record your message and save test it out a few times. Remember you will introduce yourself them push the "Play wave 1" button.

After you have recorded the message the first time we suggest that you go to a wave editor and normalize the sound or increase the volume. Remember this application can only handle 8khz 16 bit mono. Try it out a few times before you make that important call. This will give the message of better quality sound output. PlayBack Settings

Once you have the recording in a wav format select the contractor menu and select open sound recorder once again. When the recording device opens go to the edit menu. Select edit and go to the audio properties. When the audio properties screen opens go to the sound playback box. There is a drop down menu and select modem playback. Click the apply button at the bottom of the screen then click okay. Now you're recorder is ready to play back your prerecorded voice messages through your modem.

Testing Wav Files

Now,go back to the preferences menu and select configuration. The phone tab should be on the top. Go to the wave play list box. On the right is an add button. Push the add button. This will allow you to select your prerecorded wave files. If you have two messages select the first wav file at this time. Before going any further you can test these wave files. Just listen to them for a few seconds and then stop the wave file. Make sure the volume is set correctly. The volume could be adjusted by going to the Start>control panel>sound and audio screen. Push advanced and a volume screen will appear. Make sure you are on the “playback” section and make sure all devices that apply are selected. Then adjust the volume and close this screen.

Selecting and Playing the Wav Files

Make sure the wave files are selected in preferences. Only after the potential customer has been dialed and the line is open do you push the button play wave one. Below this button is play wave two. Select the second prerecorded message. If for any reason while you are playing these wave files on a potential customers voice machine you need to stop them, there is a stop button below this second button. Now you're ready to leave a prerecorded message on a potential customers voice machine. You can only play the wav file once and then you must dial the next potential customer.

Documenting Permission

When the decision-maker replies back this is where you get permission for further correspondence, trial closings, reinforcement or personal visits depending on your sales process. Select the potential customer in the database copy and Make a checkmark in the permission box on the main screen on the lower left side. We not only want to document permission with this application but begin the lead generation process.

Adding and Calling a New Potential Customer

On the main user interface, on the right side there are two rows of buttons. The top row of buttons allows the user to go through potential customers in the database above. The selected data is at the left. Forward and back are the two main categories.

The next row of buttons allows the user to add, subtract, edit, save, delete and refresh new data of potential customers in the database. Bush the add button or + sign. Type the data of the potential customer that you currently have. If you ever have to update data push the arrow ^ button. This first name might be from a business card that you collected at a trade show, a name and number that you picked up from networking, a sign on the street, billboard or an advertisement that might have a phone number where you could reach a potential customer for your product or service. These are all sources for potential customers.

Keep it simple at first. Remember, this potential customer or phone number may be not ready to listen or out of service. So don't spend too much time at this stage entering data.

We do suggest that you target your audience, create a communication plan and strategy along with an ad tactic that coincides with your calling according to the integrated marketing communication model. Then separate the targeted potential customers by category in the business contact manager. After you have your ad tactic working for your calling then you are ready to start dialing. Go to the category from the business contact manager just select the first name and phone number. If you have other information like a fax number or e-mail that would be fine to add it to this time. Depending on your sales process you may have to get updated information from the secretary and/or decision-maker. Once you have done this you're getting closer to conversion marketing. There are many options with this application when the secretary is on the phone. The contacts data will be right in front of you. You could add an e-mail address, a fax number, the best time to call the decision-maker, select the time to e-mail or fax the decision-maker with the upcoming event or promotion back when sides with your ad tactic. Anything else just write in the notes section.

On the average a salesperson spends two hours a day contacting potential customers. This application helps his process of starting the day out right by getting the numbers. In the contact view section a salesperson can view callbacks, fax backs or e-mail backs for that day. Add quickly any new potential customers from the previous evenings networking and be ready to go in minutes. With this application it won't be how many potential customers are calling because the manager will know they have the best practice calling tool with a salesperson but it will be how many potential customers have we started down the pipeline. How many are we going to close? How many leads have we closed? Will be questions not, “How many calls have you dialed?” Getting the calls accomplished is no problem now is the conversion factor/closing ratio that is crucial.
